Meet EVAA: The participant AI Agent for Smarter and Easier Events ✨

EVAA is the Event Virtual AI Assistant by Swapcard, built to guide participants through exhibitions and help them get maximum value with less effort, less stress, and a lot more clarity.

For a limited time, EVAA (Beta) is available for free so you can try it out, share feedback, and help shape the smartest AI companion for your events.


What is EVAA?

EVAA is an AI-powered assistant natively built in the event app. Participants can simply chat with it in any language, and EVAA will help them:

  • Find the right people to meet and connect with
  • Choose and register for the most relevant sessions
  • Discover exhibitors, products, and booths and bookmark them
  • Navigate the venue, halls, and facilities
  • Get support on how to use the event app

Because EVAA is part of the Swapcard platform (not a generic external chatbot), it understands your event setup, including:

  • Who the participant is (attendee, exhibitor, speaker, etc.)
  • Their past actions and behavior in the app
  • Visibility rules and content access
  • Permissions and feature access
  • What each person can and cannot see or do

The result: contextual, tailored answers that feel specific to each participant and your event.

ExpoFP Wayfinding on Web: A Smoother Navigation Experience for Attendees

ExpoFP’s wayfinding feature is now available on the web version of the Swapcard Event App, bringing a consistent and convenient navigation experience across devices. Previously limited to mobile, wayfinding can now guide users from one booth to another directly from the event’s web app.

With this update, attendees using an ExpoFP map integrated into a Swapcard event can select a starting booth and a destination booth to view the suggested path. The directions appear clearly on the web map, helping visitors plan their route, discover exhibitors, and move through the show floor with confidence.

For organizers, extending wayfinding to the web improves the overall event experience by ensuring all participants, whether on mobile or desktop, benefit from simple booth-to-booth navigation. This supports smoother traffic flow and encourages stronger attendees engagement.

Both account email and profile emails display in the People Excel import/export

A new feature has been released that enhances the organizer experience by making it easier to manage participant profiles. As part of our ongoing development of people profiles refactoring, we have introduced two distinct email fields for each participant profile: the account email, used for login and communication, and the profile email, which is displayed to connections on the App.

To streamline the process of creating and editing people profiles, we have added these two email fields to the People Excel import and export functionality. This update allows organizers to manage participant information more efficiently and with greater flexibility.

Additionally, we have removed the "profile with account" column. Now, if you need to transform a user into a user with no account, simply remove the account email.

This new feature will make organizers' tasks smoother, more flexible, and more intuitive. Just go to the Studio > Content > People > Click Export or Create people > Import via Excel file.

Change a User’s Ticket and Keep Promo Codes

You can now change a user’s ticket directly in Studio and the system will automatically check if the promo code used during the initial purchase still applies to the new ticket.

What happens when you change a ticket

  • The promo code is verified for the new ticket type.
  • If it’s still valid, the discount is applied and the Balance Due is updated automatically.
  • If the promo code doesn’t apply, you’ll see a warning message and the code will be removed.

Invisual Maps - Bidirectional Exhibitor Bookmarks

We’re pleased to introduce a new improvement to the Invisual and Swapcard integration: bookmarked exhibitors are now synchronized in both directions.

With this update, whenever an attendee bookmarks an exhibitor, whether from the embedded Invisual map or directly inside Swapcard, the action is instantly reflected in both systems. This creates a smoother, more consistent experience across the entire event platform.

Here’s how it works:

  • Bookmark from Invisual → Visible in Swapcard
    If an attendee marks an exhibitor as a favorite while browsing the Invisual map, the exhibitor immediately appears as bookmarked in their Swapcard profile.
  • Bookmark from Swapcard → Visible in Invisual
    The same applies in the other direction. Bookmarking an exhibitor in Swapcard automatically updates the Invisual map view, where the exhibitor now shows as saved.

For organizers, this means fewer discrepancies and a more unified attendee journey. Visitors save time, keep track of exhibitors more easily, and enjoy a seamlessly connected navigation experience throughout the event.

A Seamless On-Site Experience with Integrated Exhibitor Profiles on ExpoFP Maps

We’re excited to introduce a powerful update that makes navigating trade shows and exhibitions even easier for attendees.

From now on, when an ExpoFP map is embedded in your Event App, attendees can click directly on an exhibitor’s booth to instantly view the full exhibitor profile, without leaving the map or being redirected.

This integrated profile gives attendees immediate access to all exhibitor details, including:

  • Basic information and company description
  • Team members present at the event
  • Available meeting slots
  • Associated items and products
  • Sponsored sessions and program participation

By keeping all exhibitor information accessible in one place, the map becomes more than just a navigation tool, it becomes a direct gateway to discovery and engagement.

For organizers, this means smoother onsite experiences, higher visibility for exhibitors, and increased attendee interaction with exhibitor content. Attendees save time, find the right contacts faster, and engage more easily during the event.

Enhanced People Export: Now Includes Financial Details

We’ve enhanced the People Export to include key financial data that provides a complete overview of each participant’s transaction.

The new export now includes:

  • 💰 Total Cost – The total amount before any discount or promo code was applied.
  • 💳 Total Paid – The amount actually paid by the participant after all discounts and promotions.
  • 🎟️ Total Discount – The total discount amount applied to the order.
  • 🏷️ Promo Code – The specific promo code (if any) used during registration.
  • 🧾 Billing Details

How It Works

When exporting People data from the Studio, you’ll now find these additional columns automatically included in your Excel export.
No setup is required simply export your attendee list as usual, and the new fields will be available for analysis and reporting.

Editable fields management for People profiles

As part of the improvements to the attendee profile, we now offer a new way for event organizers to define edition permission of basic profile fields.

By default, all fields stay editable (except the email address). However, event organizers are now able to take the responsibility to select which fields are editable by the users. Inside the Studio, go to Content > People > People Settings > Profile Edition and choose which fields need to be blocked as part of the event management. Careful, the settings are applied across all events within the community. 

Users won't be able to edit this specific field anymore, and will be warned by a tooltip to contact the event organizer in case of any mistake. Little tip: an empty non-editable field won't be visible to the other participants on the user profile. 

These improvements won't only create a more effective event management for the event organizers, they will also end the discrepancies between the Studio and the Event App.

NB: No change on custom fields: organizer can still decide if they can be editable or not by users.

My Ai recommendations page on Mobile

My AI recommendations feature is now live. Previously available on the web, it is now accessible on mobile! This means it provides a seamless experience on your mobile device, accessing all the recommended content for your event in one convenient page. Whether you're looking for sessions, products, people, or exhibitors, our AI-driven recommendations will help you find exactly what you need.

For event organizers, simply add the new "my AI recommendations" view in the event settings to enhance your attendees' experience.

One participant profile, editable in the Event App and the Studio, now with translations.

Participant data now lives in a single profile that can be edited from both the Event App and the Studio. No more back-and-forth or approval prompts.

Event participants' profiles between the Event App and the Studio are now synced. This highly requested improvement will make managing and attending events even more seamless and efficient. Besides, it includes the ability to translate event participants' first name, last name, job title, company, and biography in multiple languages.

What changed

  • Single source of truth: The previous split between a user profile (editable by the participant in the Event App) and a community/event profile (editable by the organizer in the Studio) is gone.
  • Edit from either side: Organizers and participants can update the same profile from their respective interfaces. Please note that now organizers can also define which fields are editable by users.
  • No validation step: Participants no longer need to accept or decline organizer edits; updates apply immediately because it’s the same profile.

Multi-language fields

Translate key profile fields: first name, last name, job title, company, and biography; into multiple languages and alphabets so attendees can view profiles in their preferred language.

  • Consistency: Everyone sees the same, up-to-date information across App and Studio.
  • Less friction: Fewer steps for participants and fewer follow-ups for organizers.
  • Global-ready: Multilingual profiles make discovery and networking smoother for international audiences.

How it works now

  1. Open a participant’s profile in the Event App or the Studio.
  2. Edit details and add translations where needed.
  3. Saved changes are reflected everywhere because there’s only one profile.
