The Swap Drop - Product Updates August 2023

Welcome to Swap Drop, a handy place for you to discover a summary of our monthly product releases and get exclusive tips on how to use them to the fullest. Let’s dive in!

“Print-at-Home” Badges:

A new update has been added to Swapcard Registration: print-at-home badges. Help your attendees save time by giving them the option to print badges at home and skip long waiting lines on-site. Organizers keep full control of the badge layout with branding options and additional personalization based on ticket types. Make use of this option by promoting sponsor branding and helping monetize the event further.

Attendees check-in in Studio:

Long gone are the days of stressful check-in processes. Now, organizers can easily check-in registrants with just one click, making for a smoother and faster experience on the event day. And to add a cherry on top of this great update, you will also be able to access badges in the same people view in Studio, providing even more flexibility and access control in one place.

New People list filter based on meetings availability:

Networking with other attendees has never been easier. Using the new people list filter, they can quickly find others with similar meeting availability and make the most of their time during the event. Keep it toggled on and watch it impact the overall number of scheduled meetings in your analytics dashboard, a win-win for all.

User engagement in the People table:

Eager to know more about attendee engagement? We’ve got you! A new engagement score has been added to the people table, showing you three statuses: inactive, active, and engaged. Make use of this new parameter to analyze attendee activities and target actions to influence them into an engaged state, not only boosting the event KPIs but general attendee satisfaction.

Custom Availability Date on a Simulive Session

We enhanced Engagement with Simulive Sessions

Organizers are constantly seeking ways to maximize audience engagement and ensure participants don't miss out on crucial moments. Recognizing this need, an exciting new feature has been introduced to Simulive Sessions, empowering organizers to set a custom streaming availability date.

Traditionally, Simulive Sessions allowed for a synchronized streaming experience, where the Session start time and the streaming start time were identical. However, with the latest update, organizers now have the flexibility to set a different date for the Session start and the Streaming start. This small yet impactful change incentivizes attendees to join the Session earlier, preventing them from missing the beginning of the streaming.

Why is this feature a game-changer? Consider a scenario where participants are eagerly waiting for a virtual conference to commence. With the custom streaming availability date, organizers can choose to initiate the Session a few minutes prior to the actual streaming. This strategic move piques the interest of attendees, prompting them to log in early.

Introducing user engagement in the People table

We’ve enhanced our engagement score formula to better capture user activities at an event level.

In the Studio → Content → People we added a new parameter

How does the improved Engagement Score work:

The engagement score ranks the event attendees according to their activities on the platform. There are three main states:

  • Inactive: When the user has just been registered on the system and no actions have been made by the user
  • Active: When the user logged into the Swapcard web or mobile application at least once
  • Engaged: When the user has made other actions than simply logging in and browsing content, e.g. bookmarked a session or sent a connection request.

Benefits for the Event Organizer:

Having the visibility of whether the event attendees are Inactive (just registered), Active or Engaged will allow event organizers to convert more inactive users into Active and Active into Engaged and improve the success rate of the event.

Export all of your SwapAccess scan data with ease

Reviewing your attendee tracking and access control scans just got a lot easier. Introducing the ability to effortlessly export all your scan data from SwapAccess. Up until now, all of the scans were only available via the API or the successful scan overview from the session export.

Seamless Data Export

Your valuable event scan data deserves to be accessible in the most convenient way possible. The "Session registrations, attendance, and feedback" report has a new tab for "SwapAccess". Here you'll find every scan including unsuccessful scans and multiple scans for the same person in a single session. With the analytics report, you can now seamlessly export your scan information with a few simple clicks.

How It Works

Simply log in to your Studio account, navigate to the Reports in the Analytics section, and export the "Session registrations, attendance, and feedback" report. The "SwapAccess" tab in the Excel file will list every scan with all the scan meta data, the person scanned, and the appropriate session. Most notably, the "Scan result" column will show the scans that had errors, were not allowed (for access control), or OK (aka successful).

Onsite enhancements: Studio check-in & badge printing

Building on our recent release of at-home badge printing, we're announcing the release of check-in and badge printing via Studio. Organizers can now access a PDF of a person's badge from Studio.

To make check-in a breeze, the People listing has been expanded to include a check-in option for the people that are registered. A quick search of a name and a click of an icon and that person is checked-in!

Be on the lookout for improvements to the badge printing and check-in process as we continue to release updates to our in-app selfservice registration.

Add labels to Event Tickets

While small, this new feature is an impactful improvement to our event app - the ability to add a label to your event ticket.

We know that attending events can be overwhelming, especially when you’re onsite. That’s why, with this updated feature, you can now add a custom label to your QR code. This way, participants can easily identify the purpose of the code, especially when they have several of them, making it that much easier to navigate the conference floor.

To get started, we are leveraging the existing registration Tickets. Once you have your tickets created you can simply add a ticket to the badge code. The ticket name will be displayed below the associated code in the event app.

We hope this new feature makes it even simpler to attend events.
