Handle conflicts with sessions and meetings

Inside the Swapcard platform, attendees can send meetings to each other to ensure they meet the right person at the right time and location. It is also possible to register for sessions.

In order to not miss out on anything, the schedule is displayed inside My Event. However, each time the users are busy accepting a meeting or registering for a session, they should be aware of the potential conflicts they have inside My Schedule.

That’s why Swapcard decided to display the time conflicts inside My Event, and to warn the users each time:

  • The users accept a meeting but they already have a session in their schedule
  • The users register for a session but they already have a meeting or a session in their schedule

Private chat for Moderators and Speakers inside the Backstage

This new feature allows moderators and speakers of a Backstage session to communicate with each other in a secure and private chat. The private chat is accessible only to them, ensuring that conversations remain exclusive to the intended audience.

The private chat has all the features that are available in the usual session live discussions, including reactions, answering messages, and file uploads. This means that moderators and speakers can collaborate and share information with each other in real-time.

Furthermore, when a message is sent, the chat box opens automatically. This feature ensures that everyone in the Backstage is aware of the ongoing conversation and can join in if needed.

In summary, the private chat for moderators and speakers inside the Backstage is an essential feature that enhances communication and collaboration. It makes it easier for moderators and speakers to work together and deliver an outstanding session experience for all attendees.

Guest Mode at the Community level

Swapcard now offers the ability for someone not logged into Swapcard, or not registered to any of the Community's events, to access the Community and its content through the Guest Mode.

Each Community now has a new Guest Mode Group, and it's possible to set the permissions for this group.

It’s also possible to define whether Guests can view each Community in the “Groups & permissions” section.

The Guest Mode is a great way to open your Community to external people and allow them to discover your content and activities. It can also increase the visibility and engagement of your Community.

Exhibitor Center Revamp - New Home and Menu

We are introducing changes to the Exhibitor Center in order to improve the UX and UI of the application, modernize and align it better with the Swapcard Event App and Swapcard Studio.

The following improvements applied to the Exhibitor Center landing page:

  • Filtering of displayed content based on “ongoing/ upcoming events” and “past events”
  • Displaying exhibitors e.g. LinkedIn and the related events in order from the most recent
  • Ability to collapse events related to an exhibitor
  • Option to revert to the old version of Exhibitor Center for the first two weeks after the release

The following improvements applied to the Exhibitor Center event page:

  • The community logo is visible in the top navigation bar
  • Both the Exhibitor and the Event names are presented in the side navigation bar (rather than the top navigation bar)
  • Team members have the ability to select other events under the event dropdown list (side navigation)
  • Team members have the ability to select another exhibitor within the same event under the exhibitor dropdown list (side navigation)
  • Updated UI and order of pages on the side navigation

Plans and attendees & exhibitors consumption are available on the Studio

Our platform now displays the current consumption status of the current plan and gives the option for organizers on the Free Plan to upgrade to the Starter Plan.

With this update, organizers can monitor the usage of their plan in real-time.

For organizers on the Free Plan, the upgrade feature provides the opportunity to access additional features and services to enhance their event.

Connection and Meeting Request Limitation to Enhance User Experience

We are thrilled to announce a significant update to our platform that aims to improve the quality of connections and meetings for all our users. With the growing presence of spammers and bots on networking platforms, it has become essential to prioritize genuine connections and combat unwanted solicitations. Our latest feature allows us to address this issue effectively by limiting the number of connection and meeting requests users can send within a specific period.

How does it work?

To promote meaningful interactions and prevent abuse, we have implemented a connection and meeting request limitation feature. When users attempt to send an excessive number of requests within a specified time frame, our system will intervene to maintain a high standard of user experience.

Upon reaching the connection or meeting request limit, users will receive the following alert: "You have exceeded the allowable number of consecutive requests. Please try again later."

By implementing this feature, we aim to create a safer and more enjoyable networking environment for all our users!

Get your Registration Form on your Website thanks to the new Widget

Registration just got a lot easier! 

With the new embeddable registration widget users never have to leave your website. Not only is the full functionality of the registration form available, but it also offers some extra perks.

In addition to embedding the registration form, a ticket-specific form can be embedded without exposing the other ticket types. This will allow registrants to skip the ticket selection and begin registering without the worry of them going back and choosing an unintended ticket type. The use of our registration widget be helpful in situations where you might have a VIP registration form or even an employee form.

Note that only the website domains that are already associated with your organization will be allowed to embed the site. That means if the organizer’s email is pat@acme.com then any website that is in the form of *.acme.com can embed the registration form. In this example, that could look like events.acme.com, conference23.acme.com, or even www.acme.com.

To get the code snippet simple go to the Event Builder and choose Registration Mode. When Swapcard’s Registration is enabled you’ll be able to copy the code from there.

Add Custom Text in Form Builder

We’re expanding our registration form to allow you to add custom text to the form. With this new feature, forms can be more user-friendly and informative by allowing you to add text on any page of the form where you can currently add form elements. This means that you can begin the form with an introduction, add more detail about a custom field, or simply communicate a message to your registrants!

The text will allow basic formatting including bold, underline, ordered list, and unordered list. Of course, you will also be able to add links and make it multilingual.

Lastly, because you may have fields that are filtered on ticket types you can also filter your custom text by ticket types.

This means that you can have a question, for example, to collect your dietary preferences when you purchase a 3-day ticket and then add some helper text in that situation. Then people registering for the virtual event will not see the dietary preferences or the helper text associated with it.

Raise Hand in an Unmoderated Roundtable

A Roundtable allows multiple participants to share their thoughts and ideas around a specific topic. However, it can be challenging for all participants to get an equal opportunity to speak, especially in large groups or when multiple people are talking at the same time. 

To address this issue, a new feature has been introduced that allows participants to raise their hand during unmoderated Roundtables. We’ve also improved the Raise Hand feature during moderated Roundtables.

This feature works differently depending on whether the Roundtable is moderated or not:

If the Roundtable is not moderated, when a participant raises their hand, everyone in the meeting hears a sound and sees a hand icon on the video thumbnail, indicating who wants to speak. Additionally, there will be a list of people who have raised their hand, which can be accessed by all participants.

If the Roundtable is moderated, the moderator should hear the sound when someone raises their hand. The moderator will have access to the list of people who have raised their hand and can decide who should speak next.

The ability to Raise Hand during a Roundtable is an excellent addition that can make online meetings and discussions more organized, efficient, and inclusive.

Menu Changes in Studio

As we prepare for more Swapcard Registration features we're making some menu changes. 

Three items that used to be under the Registration section of the menu are moving to the Event builder section. That means that the Registration section is purely focused on our Swapcard registration. In the coming months you'll begin to see new menu items for new features, such as badge printing.

  • Registration > Settings has moved to Event builder > Registration Mode
    This change better reflects the choice of registration modes an organizer makes during the setup process. Even if Swapcard Registration is not selected, the organizer will have access to the Registration menu to potentially configure registration before it is live.

  • Registration > Terms has moved to Event builder > Terms
    Terms can apply to Swapcard Registration, to a person accessing the app, or both. You'll still manage your terms in the same feature, but now you'll find those terms in a centralized place.

  • Registration > Integrations has moved to Event builder > Integrations
    Often the integrations used include the registrants, but it's also about exhibitors, speakers, and sessions. Now you'll manage your integrations outside of the context of registration.
