Exhibitors see contacts met in previous events in their last event's reports

Each contact made via Lead Retrieval during an event is automatically included in the exhibitor's lead report of that same event. This means that even if a connection was already existing between the exhibitor member and the contact from a previous event, the contact that has been scanned again in the current event will also show up in the last report, along with the latest profile details saved for this event.

Additionally, this feature allows for a more comprehensive analysis of the event's success, as it shows the number of leads generated, regardless of whether they were scanned during previous events or not.

Lead Retrieval – Ability to create a one-way connection when scanning badges

We are introducing another option within Studio for lead retrieval when scanning badges onsite. Currently, if an event organizer enables lead retrieval rights for an individual exhibitor or a select group within Studio, badge scanning will be available on both iOS and Android devices through the Swapcard Mobile App. When an exhibitor with these rights scans an event attendee onsite, a two-way permanent connection is created immediately with contact details shared between the two.

With this new upcoming enhancement, organizers will be able to decide, at group and exhibitor level, whether badge scanning at a physical event creates a traditional two-way permanent connection between the two users, or if a brand new one-way connection is created instead.  A connection is considered one-way when the contact information of the individual who’s badge was scanned is shared with the person who initiated the scan. Only the individual who’s badge was scanned will appear in the scan initiator’s contact list.

This new enhancement will allow organizers to have full control of how information is shared when scanning badges during onsite events.

How will it work?

When the one-way connection option is selected, a contact will be created only for the individual who scanned the badge, by duplicating information of the person scanned including their first and last name, email, and phone number on display in the event profile at the time of the scan.

This logic is similar to business card scanning, in that the individual who’s badge is scanned will not receive a notification and will not have the contact details of who scanned their badge. If the scanned individual’s profile is updated (either by them in their event profile or by the organizer) after their badge was scanned, these changes will not appear for the individual who scanned them prior to the changes.

How to enable one-way connection in Studio?

An option will be added in two places in the Studio to allow event organizers to decide, at group and exhibitor level, whether the badge scan will create a traditional two-way user connection, or the new one-way contact record.

The new option can be found here:

  1. Event Builder → Groups & Permissions → Group setting → General → Lead retrieval
  2. Content → Exhibitors → Edit individual exhibitor → Lead retrieval

By default, once “Onsite badge reader” is enabled, when a badge is scanned at an event, the contact details of both the person scanning and the person who’s badge was scanned, will be shared with details available to both.

In order to restrict contact sharing and have a one-way connection with the contact details of the scanned person only available to the scan initiator, the organizer will need to select this option: “Scan Initiator”.

Please note that this setting can only be selected by the event organizer.

Additionally, organizers will now have the ability to access related Help Center articles directly from the “Learn more” buttons presented under Setting up lead retrieval and Virtual booth visits. This will allow for quick and easy access to additional information related to these functionalities.

Improved offline mode for Lead Retrieval in case of a bad connection

Good news! Our application already manages the offline mode, but we know that during in-person events a bad connection can happen due to limited network coverage or poor wifi.

We’re happy to announce that our lead retrieval now autonomously saves and synchronizes the scans done when the connection is bad, meaning you won't ever have to worry about losing a lead!

Note : This feature is only available on iOS and will soon be released on Android

Organizers can add enhanced restrictions on data access by exhibitors

Organizers can now better tailor access to leads data based on a custom field, term consent or connection initiator. This feature can be used to remove leads from the report and to further monetize access to leads. Multiple conditions can now be selected at once!

How can organizers exclude details from EC Leads report?

  1. Access the Swapcard Studio
  2. Navigate to “Content” → “Exhibitors” → “Exhibitor Settings” → “Report Condition”
  3. Navigate to “Add Condition” and select a custom field, term and/or connection initiator and its values in order to exclude the data from the report

This feature allows organizers to select the data that will be shared in the Exhibitor Center report.

Connection initiator data for “Badge scan” and “Request” connections added to EC leads report

We enhanced available data in the Swapcard Exhibitor Center leads report, by adding information about whether an attendee or an exhibitor member initiated a connection. The initiator of the connection will be displayed for the “Badge scan” and “Request” connection types.

The new values in the report will appear in the following way:

  • Badge scan by exhibitor
  • Badge Scan by attendee
  • Request sent by exhibitor
  • Request sent by attendee

This improvement will help exhibitors to analyse and understand their leads better.

Organizers can now add restrictions on data access by exhibitors

Organizers can now tailor access to leads data based on a custom field or a term consent. This new feature can be used to remove leads who did not provide consent to be contacted in the future. It can also be used to further monetize access to leads.

How can organizers exclude details from EC Leads report?

  1. Access the Swapcard Studio
  2. Navigate to “Content” → “Exhibitors” → “Exhibitor Settings” → “Report Condition”
  3. Navigate to “Add Condition” and select a custom field or a term and its values in order to exclude data from the report

    *The selected condition will be applied to all of the events within the community

This new feature allows organizers to select the data that will be shared in the Exhibitor Center report.

QR Codes for Onsite Booths

Swapcard released a booth QR code scanning feature to help exhibitors generate leads and attendees find the products or services they are looking for.

Exhibitors can just place QR codes to their on-site booth where on-site visitors will scan it using a native phone camera, any QR code scanner or Swapcard or Branded app scan feature. After scanning, they will be redirected to the exhibitor virtual booth: directly in the Swapcard’s or Branded mobile app if they have the app installed, otherwise in the web mobile browser. On this page, visitors can check the company details, start a chat or ask for a meeting, plus, the company will be automatically added to their ‘favorites’, so they won’t lose it after.

Exhibitors and organisers have access to information about people scanned QR codes on-site in the reports, directly in the Studio or Exhibitor Centre:

  • 'Exhibitors' pages, ads, docs, and items views and bookmarks' report (tab ‘Booth’, column ‘Scanned at’)
  • ‘General metrics’ report (tab ‘Details per exhibitor’, columns ‘Total scans (incl. guests)’ and ‘Scanned by attendees’)
  • the Leads report in the Exhibitor Centre (tab ‘Booth’, column ‘Scanned at’)

Leads Report in the Exhibitor Centre

Exhibitors have the option to download leads directly from the Exhibitor Centre.

Just go to Exhibitor Centre -> Leads board -> Export leads

Types of leads available from the Exhibitor Centre:

  • Connected with exhibitor members
  • Had a meeting with the exhibitor or its members
  • Had a chat with the exhibitor
  • Visited or bookmarked the exhibitor booth
  • Visited or bookmarked the exhibitor's items
  • Downloaded documents
  • Viewed and clicked on the advertisement on the exhibitor page
  • Registered or physically attended the sponsored sessions
  • Watched the sponsored sessions online

Please note: in the Exhibitor Centre the Team's contacts are merged with the Leads board. All contacts are available from the Leads board.

Organizers can manage access to these reports in the Studio by allowing rights at the exhibitor and group level.

By default, the first three reports are available for all exhibitors.
