Exhibitor Center - Brand New Team's Contacts Board

In the Exhibitor Center, we've taken the contacts list to a whole new level. With our latest feature, AI Recommended Leads, you can seamlessly connect with potential clients who have interacted with your exhibitor. Once connected, you'll find these valuable contacts, complete with all their detailed information, conveniently organized in the Team's Contacts Dashboard.

This dashboard is your team's hub for managing connections, ensuring everyone stays in the loop. Not only does it display contacts generated through lead recommendations, but it also includes those captured via scanning and other methods, making it a comprehensive resource for your entire team. All activities are summarized inside the side panel "Activities".


Also, easily delegate account management by assigning specific contacts to team members, so everyone knows who is responsible for each relationship. 

Once the connection is made, don't forget to qualify your lead! All qualified leads and contacts are accessible to team members with the appropriate permissions, promoting collaboration and informed decision-making. 

Maximize your exhibition success with this powerful tool that simplifies and enhances your team's ability to manage and convert leads into long-term clients.

Optimize the Exhibitors Performance with AI Recommended Leads

To enhance the experience of Exhibitors and maximize their opportunities, we are thrilled to announce a groundbreaking feature in our Exhibitor Center: AI recommended Leads based on attendees' interactions.

Our new feature harnesses the power of data analytics and artificial intelligence to provide exhibitors with personalized leads recommendations. By analyzing leads' interactions within the app, such as booth visits, inquiries, and engagements, we curate a list of potential leads tailored to their interests and objectives.

Furthermore, the Recommended Leads Dashboard enables lead assignments to team members, improving follow-up and team collaboration.


How does it work? 

As an exhibitor, you just need to go to the Exhibitor Center > Leads > Recommended Leads. 

Here, you will have a list of potential leads you should connect with, along with their interaction score. The interaction is calculated based on the lead's interactions made with this specific exhibitor. 

Several details are available by clicking on the lead, like interactions details and the lead profile. All this information makes the leads management smoother and creates opportunities to engage in discussion with these interested potential contacts! 

Finally, filters and team assignments are here to simplify onsite event management and allow you to spend your precious time networking and connecting with Leads! Click on the 'assign to' column and select the team member you want to assign to this lead. The team members will then manage their accounts and focus on specific networking areas. 

NB: This feature is a paid add-on, included in the Advanced and Ultimate Exhibitors packages.

New split permission for lead report

Managing access to critical data in Exhibitor's lead reports just got easier and more efficient with our latest update. We are excited to introduce the new split permission feature, designed to give Organizers more control and flexibility over exhibitors' access permissions.


Previously, Session Bookmark and Session Scanning were combined into a single tab within the lead report, with our new split permission feature, you can now manage these two reports' accesses independently.

Exhibitors can send their leads to HubSpot, Salesforce and other CRMs with Zapier

We're excited to announce the launch of the Swapcard Exhibitor Zap App, now available on the Zapier Marketplace!
This new app is designed to empower exhibitors by providing a seamless way to integrate our recently launched Exhibitor Leads API with their preferred CRM systems, such as HubSpot and Salesforce. With this integration, exhibitors can effortlessly synchronize contacts and leads gathered during events directly to their CRM, all without any need for developer skills.

Lead qualification for Exhibitors

Swapcard’s Lead Capture feature is advancing further. In addition to the Score and Notes, exhibitor members can now better qualify their leads using a personalized survey.

Exhibitors can create a list of Lead qualification fields directly from the Exhibitor Center, with one survey per event. All members will have the same fields, ensuring a unified approach. After scanning attendees' badges during onsite events or connecting with people via the Event App, exhibitor members can seamlessly qualify their leads using the pre-created survey.

We made filling out the survey optional to provide more flexibility to exhibitors.

As always, organizers are in control of the feature. They can enable/disable lead qualification at an exhibitor and group level, providing an additional opportunity for monetization. For instance, it can be sold as part of a premium exhibitor package.

Lead Qualification will be supported on all platforms:

  • Mobile apps: when a lead is scanned onsite and when a connection request is sent by a team member & accepted.
  • Web app: when a connection request is sent by a team member & accepted.

There is no limit to the number of questions exhibitors can create, but in the first version, we will support only three types of answers:

  • Single choice
  • Multiple choice
  • Short Text

How does it work?

1. Studio Settings

Organizers can enable/disable lead qualification at an exhibitor and group level.

The ‘Lead Qualification’ permission works the same way as other exhibitor permissions. For example, a permission at the exhibitor level has higher priority than a permission at the group level. If an organizer removes the permission, the exhibitor cannot use the form anymore, but the responses are still displayed in the reports.

2. Exhibitor Centre Setting

Exhibitor Center → Leads → Qualification. It includes existing default qualification fields (Score, Tags, and Note fields), which cannot be deleted. 

3. Reporting

Lead qualification with answers appear in the Leads report available for exhibitors in the tabs 'Contacts' and 'Contacts (incl. duplicates)'. If an organizer removes the permission, the exhibitor cannot use the form anymore, but the responses will still be displayed in the Leads report.

4. Event App

The Lead Qualification form is displayed on Mobile & Web:

  • Mobile apps: when a lead is scanned onsite or when a connection request is sent by a team member & accepted. Lead qualification should support the offline mode as well.
  • Web version: when a connection request is sent by a team member & accepted.

If the same person has been qualified by several exhibitor members from the same exhibitor, each exhibitor member should be able to read the qualification from any exhibitor member. Also, if someone is part of multiple exhibitors, they will have the option to choose for which exhibitor they would like to qualify the lead as a first step.

NB: Lead qualification feature is a paid add-on that's not included in any Plan licenses. Please contact your Account Manager to benefit from it.

NB2: Tags features will be deprecated once Lead Qualification will be released.

Improved Offline Mode Scans

We have improved the messaging and introduced new buttons for smoother interaction while in offline mode for lead scanning.

Your scans are securely stored locally on your device when you're in Offline Mode. And to keep you in the loop, we've enhanced the messages you receive. So, even without a connection, you can trust that your scans are in safe hands. Just remember to sync them once you're back online.

To streamline your scanning process, we've added two new buttons:

  • Open to Qualify: Effortlessly qualify a scan for further action.
  • See My Pending Scans: Directly access your offline scans screen with a single click, bypassing the contacts list for quicker access.

Whether you hit the "Back" button, switch to a different QR code scan, or press any other buttons after scanning a badge in Offline Mode, rest assured that your scan is securely saved, on both iOS and Android.

With these enhancements, we aim to provide you with an even more reliable and user-friendly scanning experience. Trust that your scans are always secure, even in challenging connectivity situations.

Smart Meeting Generator: Create speed networking using AI

If you’re looking to create speed networking or meetings-led events, then you’re in luck. We’re excited to announce the latest feature: our Smart Meeting Generator which creates speed networking with AI.

The Smart Meeting Generator is an innovative way to engage attendees to network, optimize meeting creation, and make people meet each other. With our new AI-based speed networking feature, you’ll be able to orchestrate the meetings quickly and efficiently.

We understand the importance of speed networking events and the value they bring to the table. With the Smart Meeting Generator, you can easily customize who should meet, in which locations, and when. You can rest assured that your attendees will get the most out of their networking experience.

How does it work? 

How to set it up?
Go to the Studio page, and click on Meetings > Generator.
Here, you can customize your condition according to your needs: Group matching, Locations, Time slots, etc.
Then, all you need to do is click on "Generate meetings".

How does our magic AI work?
- Our custom-made NLP (Natural Language Processing) engine estimates the potential of each possible meeting.
- A multi-dimensional priority system generates meetings taking into account the quality of meetings, compatibility of users' groups, and all sorts of constraints (schedules, locations, diversity of meetings...), and much more...
- Smart implementation enables us to offer thousands of meetings per second!

After, a short period, a success email will be sent to you so that you can check the generated meetings. 

Here is the trick: the generated meetings are created as "draft" meetings. So that only you as an organizer have access to it. Participants know nothing until you confirm the draft meetings.
Besides, for each meeting generated, some AI explanations are displayed so that you know why 2 persons have been matched. 

Draft meetings can be edited, cancelled, reviewed, and everything you need to customize and optimize your networking session!
The final step is to confirm the draft meetings: in bulk or individually. 

As a participant: 
Then, participants will receive the meetings in their schedule as normal meetings, with AI explanations about why they matched with this person. 

Now, the networking can begin! 

Finally, with the Smart Meeting Generator, you can efficiently generate speed networking with AI, allowing you to create the perfect networking opportunity for your organization or team.

Enhanced Lead Report in the Exhibitor Center

We're excited to introduce a significant upgrade to the Leads report in the Exhibitor Centre, aimed at providing exhibitors with even more comprehensive insights into their leads' interactions.

Previously, when multiple exhibitor members contacted a lead, the lead would only be listed once in the 'Contacts' report, displaying information solely about the initial team member who made contact. We understand that for exhibitors, it's crucial to have a complete picture of their leads' engagement, not just their initial connection with an attendee.

To address these needs, we've introduced a new tab: Contacts (incl. duplicates) in the Excel report that exhibitors can download:

This tab provides exhibitors with a comprehensive view of all interactions with a lead, ensuring that no valuable data is missed. The report maintains the same structure as the pre-existing 'Connected with your members' report, but now, individual leads may be duplicated if they have interacted with multiple team members. 

As a reminder of where to find it: Access to the Exhibitor Centre -> Leads Board menu -> Export Leads button -> Select 'Connected with your members' -> Start export. The system will generate an Excel file with two tabs: 'Contacts' and 'Contacts (incl. duplicates)'.

Now, exhibitors can easily track the entire journey of their leads, from initial contact to subsequent engagements with other team members.

Enhancing Visitor Engagement and Lead Generation: Introducing Automated QR Code Generation for Exhibitor Booths

Previously, Swapcard introduced a feature to boost visitor engagement with exhibitors during on-site events. This feature utilizes QR codes, which exhibitors can conveniently place at their booths, in their social media communication, or even in their email signatures. 

On-site visitors can scan these QR codes using their phone's camera, any QR code scanner, or the scanning feature within Swapcard or the branded app. Once scanned, visitors are seamlessly redirected to the exhibitor's virtual booth, with the included benefit of automatically adding the company to their 'favorites' list.

Both exhibitors and organizers can access information to see who has scanned the QR codes on-site. These details can be found in the reports section, either directly in the Studio or the Exhibitor Center.

Previously, organizers manually generated QR codes for exhibitor virtual booths. However, the new feature simplifies and streamlines this process by automatically generating QR codes. Exhibitors can conveniently access this feature directly from the Exhibitor Center, with the added option to customize the QR code according to their branding.

Organizers retain complete control over this feature and can manage it at both the group and individual exhibitor levels through the Studio.

At the group level

  • Click on “Group and permissions” for your event
  • Edit “Exhibitors” group
  • Click on the “Lead generation” tab
  • Allow to download QR code is now available 

At the exhibitor level

  • Go to Content → Exhibitors
  • Choose the exhibitor
  • Click on the “Settings” tab
  • Allow to download QR code is now available
