Improved Offline Mode Scans

We have improved the messaging and introduced new buttons for smoother interaction while in offline mode for lead scanning.

Your scans are securely stored locally on your device when you're in Offline Mode. And to keep you in the loop, we've enhanced the messages you receive. So, even without a connection, you can trust that your scans are in safe hands. Just remember to sync them once you're back online.

To streamline your scanning process, we've added two new buttons:

  • Open to Qualify: Effortlessly qualify a scan for further action.
  • See My Pending Scans: Directly access your offline scans screen with a single click, bypassing the contacts list for quicker access.

Whether you hit the "Back" button, switch to a different QR code scan, or press any other buttons after scanning a badge in Offline Mode, rest assured that your scan is securely saved, on both iOS and Android.

With these enhancements, we aim to provide you with an even more reliable and user-friendly scanning experience. Trust that your scans are always secure, even in challenging connectivity situations.

Smart Meeting Generator: Create speed networking using AI

If you’re looking to create speed networking or meetings-led events, then you’re in luck. We’re excited to announce the latest feature: our Smart Meeting Generator which creates speed networking with AI.

The Smart Meeting Generator is an innovative way to engage attendees to network, optimize meeting creation, and make people meet each other. With our new AI-based speed networking feature, you’ll be able to orchestrate the meetings quickly and efficiently.

We understand the importance of speed networking events and the value they bring to the table. With the Smart Meeting Generator, you can easily customize who should meet, in which locations, and when. You can rest assured that your attendees will get the most out of their networking experience.

How does it work? 

How to set it up?
Go to the Studio page, and click on Meetings > Generator.
Here, you can customize your condition according to your needs: Group matching, Locations, Time slots, etc.
Then, all you need to do is click on "Generate meetings".

How does our magic AI work?
- Our custom-made NLP (Natural Language Processing) engine estimates the potential of each possible meeting.
- A multi-dimensional priority system generates meetings taking into account the quality of meetings, compatibility of users' groups, and all sorts of constraints (schedules, locations, diversity of meetings...), and much more...
- Smart implementation enables us to offer thousands of meetings per second!

After, a short period, a success email will be sent to you so that you can check the generated meetings. 

Here is the trick: the generated meetings are created as "draft" meetings. So that only you as an organizer have access to it. Participants know nothing until you confirm the draft meetings.
Besides, for each meeting generated, some AI explanations are displayed so that you know why 2 persons have been matched. 

Draft meetings can be edited, canceled, reviewed, and everything you need to customize and optimize your networking session!
The final step is to confirm the draft meetings: in bulk or individually. 

As a participant: 
Then, participants will receive the meetings in their schedule as normal meetings, with AI explanations about why they matched with this person. 

Now, the networking can begin!

Enhanced Lead Report in the Exhibitor Center

We're excited to introduce a significant upgrade to the Leads report in the Exhibitor Centre, aimed at providing exhibitors with even more comprehensive insights into their leads' interactions.

Previously, when multiple exhibitor members contacted a lead, the lead would only be listed once in the 'Contacts' report, displaying information solely about the initial team member who made contact. We understand that for exhibitors, it's crucial to have a complete picture of their leads' engagement, not just their initial connection with an attendee.

To address these needs, we've introduced a new tab: Contacts (incl. duplicates) in the Excel report that exhibitors can download:

This tab provides exhibitors with a comprehensive view of all interactions with a lead, ensuring that no valuable data is missed. The report maintains the same structure as the pre-existing 'Connected with your members' report, but now, individual leads may be duplicated if they have interacted with multiple team members. 

As a reminder of where to find it: Access to the Exhibitor Centre -> Leads Board menu -> Export Leads button -> Select 'Connected with your members' -> Start export. The system will generate an Excel file with two tabs: 'Contacts' and 'Contacts (incl. duplicates)'.

Now, exhibitors can easily track the entire journey of their leads, from initial contact to subsequent engagements with other team members.

Enhancing Visitor Engagement and Lead Generation: Introducing Automated QR Code Generation for Exhibitor Booths

Previously, Swapcard introduced a feature to boost visitor engagement with exhibitors during on-site events. This feature utilizes QR codes, which exhibitors can conveniently place at their booths, in their social media communication, or even in their email signatures. 

On-site visitors can scan these QR codes using their phone's camera, any QR code scanner, or the scanning feature within Swapcard or the branded app. Once scanned, visitors are seamlessly redirected to the exhibitor's virtual booth, with the included benefit of automatically adding the company to their 'favorites' list.

Both exhibitors and organizers can access information to see who has scanned the QR codes on-site. These details can be found in the reports section, either directly in the Studio or the Exhibitor Center.

Previously, organizers manually generated QR codes for exhibitor virtual booths. However, the new feature simplifies and streamlines this process by automatically generating QR codes. Exhibitors can conveniently access this feature directly from the Exhibitor Center, with the added option to customize the QR code according to their branding.

Organizers retain complete control over this feature and can manage it at both the group and individual exhibitor levels through the Studio.

At the group level

  • Click on “Group and permissions” for your event
  • Edit “Exhibitors” group

  • Go to Content → Exhibitors
  • Choose the exhibitor

Exhibitors see contacts met in previous events in their last event's reports

Each contact made via Lead Retrieval during an event is automatically included in the exhibitor's lead report of that same event. This means that even if a connection was already existing between the exhibitor member and the contact from a previous event, the contact that has been scanned again in the current event will also show up in the last report, along with the latest profile details saved for this event.

Additionally, this feature allows for a more comprehensive analysis of the event's success, as it shows the number of leads generated, regardless of whether they were scanned during previous events or not.

Exclude leads from specific Exhibitors’ reports

Today, organizers already have control over which reports are available to exhibitors within the Exhibitor Center. Organizers can choose to enable or disable these reports from the Studio on a group or individual exhibitor level.

Organizers also have the ability to exclude people from the Leads Report based on conditions, such as:

  • People custom fields
  • Terms
  • Connection initiator

If an organizer decides to exclude certain individuals who meet these conditions from the Leads Report available in the Exhibitor Center, these leads will be excluded from all enabled by the organizer reports.

In order to improve this functionality, we have developed a way for organizers to choose from which reports individuals should be excluded based on the above-listed conditions.

Organizers will now be able to select the condition under which individuals should be excluded and apply this to a particular report (rather than all enabled reports).

e.g. Exclude people who have not consented to “Term A” from the following Reports: “Visited or bookmarked your exhibitor page” and “Watched the sponsored sessions online”.

This enhancement will allow for further customization of the Leads Reports, where the organizer will remain fully in control of the information available to the Exhibitors within an event.

Lead Retrieval – Ability to create a one-way connection when scanning badges

We are introducing another option within Studio for lead retrieval when scanning badges onsite. Currently, if an event organizer enables lead retrieval rights for an individual exhibitor or a select group within Studio, badge scanning will be available on both iOS and Android devices through the Swapcard Mobile App. When an exhibitor with these rights scans an event attendee onsite, a two-way permanent connection is created immediately with contact details shared between the two.

With this new upcoming enhancement, organizers will be able to decide, at group and exhibitor level, whether badge scanning at a physical event creates a traditional two-way permanent connection between the two users, or if a brand new one-way connection is created instead.  A connection is considered one-way when the contact information of the individual who’s badge was scanned is shared with the person who initiated the scan. Only the individual who’s badge was scanned will appear in the scan initiator’s contact list.

This new enhancement will allow organizers to have full control of how information is shared when scanning badges during onsite events.

How will it work?

When the one-way connection option is selected, a contact will be created only for the individual who scanned the badge, by duplicating information of the person scanned including their first and last name, email, and phone number on display in the event profile at the time of the scan.

This logic is similar to business card scanning, in that the individual who’s badge is scanned will not receive a notification and will not have the contact details of who scanned their badge. If the scanned individual’s profile is updated (either by them in their event profile or by the organizer) after their badge was scanned, these changes will not appear for the individual who scanned them prior to the changes.

How to enable one-way connection in Studio?

An option will be added in two places in the Studio to allow event organizers to decide, at group and exhibitor level, whether the badge scan will create a traditional two-way user connection, or the new one-way contact record.

The new option can be found here:

  1. Event Builder → Groups & Permissions → Group setting → General → Lead retrieval
  2. Content → Exhibitors → Edit individual exhibitor → Lead retrieval

By default, once “Onsite badge reader” is enabled, when a badge is scanned at an event, the contact details of both the person scanning and the person who’s badge was scanned, will be shared with details available to both.

In order to restrict contact sharing and have a one-way connection with the contact details of the scanned person only available to the scan initiator, the organizer will need to select this option: “Scan Initiator”.

Please note that this setting can only be selected by the event organizer.

Additionally, organizers will now have the ability to access related Help Center articles directly from the “Learn more” buttons presented under Setting up lead retrieval and Virtual booth visits. This will allow for quick and easy access to additional information related to these functionalities.

Improved offline mode for Lead Retrieval in case of a bad connection

Good news! Our application already manages the offline mode, but we know that during in-person events a bad connection can happen due to limited network coverage or poor wifi.

We’re happy to announce that our lead retrieval now autonomously saves and synchronizes the scans done when the connection is bad, meaning you won't ever have to worry about losing a lead!

Note : This feature is only available on iOS and will soon be released on Android

Organizers can add enhanced restrictions on data access by exhibitors

Organizers can now better tailor access to leads data based on a custom field, term consent or connection initiator. This feature can be used to remove leads from the report and to further monetize access to leads. Multiple conditions can now be selected at once!

How can organizers exclude details from EC Leads report?

  1. Access the Swapcard Studio
  2. Navigate to “Content” → “Exhibitors” → “Exhibitor Settings” → “Report Condition”
  3. Navigate to “Add Condition” and select a custom field, term and/or connection initiator and its values in order to exclude the data from the report

This feature allows organizers to select the data that will be shared in the Exhibitor Center report.
